Business Vehicles Need A Tidier File
Company vehicles and keeper records deserve more care than a quick private handover. A Garstang business car, van or pickup may have been used by one driver, registered at another address, parked at a yard, and approved for disposal by someone else entirely.
That is normal in small firms, but it can make the paperwork thin if nobody takes charge. Before collection, decide who has authority to release the vehicle and where the final record will be stored.
Check The V5C Against The Business
Start with the V5C. Check the keeper name, address, registration, make and model. If the vehicle is registered to a director personally but used by the business, or registered to the business but stored at an employee's home, make a note of the position.
The V5C is not proof of ownership, but it is still central to the keeper record. If the keeper details and business asset record do not line up, sort the explanation before the vehicle is taken away.
This is especially useful for old pool cars, service vans, farm pickups and vehicles that have been off the road for months.
Keep Authority Visible
Do not rely on a casual "someone said it could go". Record who approved the disposal: owner, director, manager or authorised staff member. Add the date and any internal reference the business uses.
If the vehicle has tools, stock, signage, trackers, fuel cards or equipment inside, remove and record those before collection. A vehicle can be low value as scrap while still carrying items the business needs.
If a driver is meeting the truck, make sure they know what paperwork to keep and what not to hand over.
Tie DVLA Records To The Disposal
GOV.UK scrapping guidance says end-of-use vehicles must be scrapped at an authorised treatment facility and that DVLA must be told when the vehicle is taken to an ATF. For a company file, keep evidence that this side has been handled or is being handled.
Vehicle tax can also matter. DVLA says refunds are for full remaining months and are calculated from the date DVLA gets the information. If the V5C address is an old office, a refund bank transfer or letter may not land where the accounts team expects.
Keep the DVLA confirmation, retained V5C section and receipt with the company vehicle file.
Make Payment And Receipt Details Match
The receipt should show the correct registration and enough detail for the business to reconcile the disposal. The payment route should also be clear. Avoid vague cash-style notes or incomplete descriptions that leave accounts guessing.
If the vehicle is a van, pickup or 4x4 with missing parts, say so before the quote is agreed. The same applies to private plates, signwriting, roof racks, racking, tow bars or removed catalysts.
Close The Asset Record
After collection, update the internal asset list, insurance record and any service or maintenance file. Add the collection date, disposal route, receipt, payment reference and any Certificate of Destruction details if provided.
Company vehicles and keeper records are not complicated when someone owns the admin. The aim is to let the vehicle leave the yard without leaving the business with half a story.
